Terms of Service

These terms apply when you use Invoice Mate ("the service"). By creating an account or using the service you agree to them and to our Privacy Policy. If you do not agree, please do not use the service.

1. The service

Invoice Mate is online software for creating quotes and invoices, recording payments, sending documents and preparing reports for Australian small businesses. Features may change over time.

2. Your account

  • You must be at least 18 and use the service for business purposes.
  • Give accurate information and keep your sign-in details secure. You are responsible for activity on your account.
  • Tell us straight away if you think someone else has accessed your account.

3. Your content and responsibilities

You own the information you put into the service (your business details, customers, invoices and so on). You give us permission to store and process it to provide the service to you. You are responsible for:

  • the accuracy of your invoices, quotes and reports, including prices, GST and ABN details;
  • having the right to store and use your customers' details, and using them lawfully;
  • meeting your own tax, GST, BAS and record-keeping obligations.

4. Not tax or accounting advice

Invoice Mate helps you organise your records. It does not lodge anything with the ATO and does not give tax, accounting or legal advice. Check important figures with your accountant.

5. Acceptable use

You must not:

  • use the service for anything unlawful, misleading or fraudulent, or to send spam or abusive messages;
  • try to break, overload or gain unauthorised access to the service or to other people's data;
  • copy, resell or reverse-engineer the service, except as the law allows.

We may suspend or close an account that breaks these rules.

6. Email, WhatsApp and connected accounts

When you connect Gmail or Outlook, invoices are sent from your own email account and you are responsible for what you send. WhatsApp messages are opened in your own WhatsApp and are sent by you. Both services have their own terms, which you must follow.

7. Fees and billing

Plans and prices are shown on our pricing section and are in Australian dollars. Online billing is not open yet, and nothing is charged today. When billing opens we will tell you first, and you can choose whether to subscribe. Paid plans renew until cancelled, and prices include GST where it applies. We will give you notice of any price change before it applies to you.

8. Availability and changes

We work to keep the service available and your data safe, but it may sometimes be unavailable for maintenance or for reasons outside our control. Keep your own copies of anything important, such as PDFs of invoices you have issued.

9. Ending your account

You can stop using the service at any time and ask us to delete your account. We can end or suspend access if these terms are broken or the law requires it. Sections that by their nature should continue (such as liability and ownership) survive the end of the account.

10. Our ownership

The software, design and branding of Invoice Mate belong to us. You get a personal, non-transferable right to use the service while your account is open. The logos and content you upload remain yours.

11. Liability

Nothing in these terms limits any right you have under the Australian Consumer Law that cannot be excluded. Subject to that, and to the extent the law allows, we are not liable for indirect or consequential loss, or for loss of profit, revenue or data, arising from your use of the service, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim (or $100 if you have not paid anything). The service is provided "as is".

12. Changes to these terms

We may update these terms. The date at the top shows when they last changed. If you keep using the service after a change takes effect, you accept the updated terms. For significant changes we will tell you in the app or by email.

13. Governing law

These terms are governed by the laws of New South Wales, Australia, and you agree to the non-exclusive jurisdiction of its courts.
